Meeting Notes

Friends of the Lincoln Heritage Public Library, Inc

Notes from March 15, 2018 Meeting

A review of the monthly statements of the sale of books through ThriftBooks.com led the board to reconsider the use of this avenue of book sales. It was unanimously decided that there would be no more shipments of books to this company.

The Spring Book Sale, scheduled for April 19-28, is the first large sale since the inception of the Undergrounds Book Store. Due to the new format for the sale it was agreed that the sale should be staffed throughout the time it's open. Treasurer Dilger will contact cashiers and volunteers providing snacks for our patrons.

Director Kippenbrock shared her plans for National Library Week "Catch Your Pet Reading" contest. Patrons' photos of 'pets seen reading' can be entered into a contest that will be judged by our library visitors during National Library Week. A gift basket funded by the Friends will go to the winner of the contest.

The Friends have received a letter of request for a donation to the David Turnham Spring Fling. Since the board normally gets a similar request from Nancy Hanks and Lincoln Trail Elementary Schools, it was decided to approve funding for all three schools at this time.

A stipend was set for the May Spencer County Bicentennial presenter Susan Baggett of Picture Perfect Photography in Jasper. Susan will provide helpful hints on photo preservation on Thursday, May 10 at 6:00 p.m. The stipend will help to cover the expenses incurred for the presentation.

The proposed calendar adopted at the December meeting has been updated according to board specification and was made available to board members.

Treasurer Dilger asked that the Swinger library sign, which has deteriorated beyond use, be replaced. Pending board approval, it will be used to advertise the Undergrounds Book Store openings as well as for other library programs.

The board approved the purchase of a 24-cup popcorn popper for the kitchen.

Library Director, Rae Ann Kippenbrock has requested that the Friends pay for the Spencer County Bicentennial presenter, David Wolfe, for a cost of $250.  Mr. Wolf is an Abraham Lincoln impersonator is giving his presentation on Tuesday, February 20th at 6:00 p.m. CDT. Board approval is pending.

Notes from November 16, 2017 Meeting

While discussing the proposal for  the 2018 calendar, the board was informed that Director Rae Ann is planning a program for each month in 2018. These programs would be included in our calendar. Treasurer Dilger will present the revised calendar at the December 21st meeting for adoption.

The 2018 budget will include a budget for decoration of the library, a 50% increase for the Summer Reading Scholastic Book Fair, and an increase in the budgets for the outreach and youth programs.  The 2018 budget will reflect a 12.5% increase over 2017.  The revised budget will be presented for adoption at the December meeting.

The board elected both a president and vice-president for 2018. Rebecca Rau, our interim president, has been unanimously elected as our 2018 president. John Stocker was selected for our 2018 vice-president. The board would like to welcome them to the Friends' team.

Treasurer Dilger reviewed the Fall Book Sale with the board. This was the first Friends' book sale with the new format of having books on shelves rather than tables. The set-up and tear-down of the facilities has diminished greatly, making it much easier make the books available to our patrons. Non-fiction books are arranged by subject, while the fiction titles are alphabetized by anther's name making finding specific titles much easier and less time consuming. Additionally,  special collections of first editions, vintage titles, and signed copies are in the planning stages.

It was decided that the Undergrounds Bookstore would be open to the public on the third Saturday of each month, 9:00 a.m.-12:45 p.m. as well as for the April and October week-long book sales. Refreshments including coffee and snacks will be available throughout the sale.

Notes from December 13, 2016 Meeting

The board reviewed the income generated from the 2016 fall book sale and compared the results with that of the past two book sales with very favorable comments.

After careful review of the 2016 budget, board members developed a proposed budget for 2017. Input from both library staff and board members was taken into consideration when developing the proposal. It was adopted unanimously.

With the aid of the youth librarian, adult program director, and home-bound program director, treasurer Dilger developed a calendar proposal for 2017. Since the library is in the process of making staff changes in the near future, the calendar will only serve as a guideline until more accurate information is attainable. The proposed calendar was adopted with the understanding that changes are eminent once the new youth librarian position is filled.

It was noted that the end of the year reports have been submitted and approved by the Indiana Secretary of State.  We are in good standing until December of 2017.

Our next meeting is scheduled for Thursday, January 19, 2017. We will be discussing the membership for 2017. Note that the meetings for 2017 are scheduled for the third Thursday of January, March, May, September, and November rather than the third Tuesday.
